Common copywriter invoice line items
Copywriting covers a wide range of deliverables. Here are the line items that show up most often on copywriter invoices:
| Line item |
Notes |
| Blog post / article | Per post, or per 1,000 words at your word rate |
| Website copy | Per page (Home, About, Services, etc.) or full-site fixed fee |
| Landing page copy | Fixed fee — typically commands premium over per-word |
| Email sequence | Per email, or per full sequence (onboarding, sales, nurture) |
| Social media captions | Per caption or per monthly bundle (e.g. 12 captions/month) |
| Brand messaging / tone of voice | Strategy deliverable — fixed project fee |
| Editing / proofreading | Per 1,000 words or flat rate per document |
| Research & interviews | Hourly if extensive research is needed outside writing time |
| Revision rounds | First 2 revisions included; additional rounds billed hourly |
| Retainer (content plan) | Monthly flat fee for agreed volume of content output |
Copywriter billing tips
State what's included
Spell out exactly what the fee covers — number of pages, revision rounds, word count. Scope creep is the number one billing headache for writers.
Take a deposit upfront
50% upfront protects your time. Reference the deposit and balance in your invoice's payment terms so clients know what to expect when.
Include usage rights
If licensing copy for commercial use (ads, broadcast, etc.), list it as a separate line item. Usage fees on top of creation fees are standard practice.
Net 14, not Net 30
Most freelance copywriters can negotiate Net 14 payment terms. Shorter terms mean better cash flow — and Net 30 can stretch to 45+ days in practice.

Frequently asked questions
Is this copywriter invoice template free?
Yes, completely free — no signup required. Fill in your details, see a live preview, and download the PDF. Create a free account to save invoices and client details across sessions.
How do I invoice per word?
Add a line item with the article title or description. Set the quantity to the word count and the unit price to your per-word rate (e.g. quantity: 1200, price: £0.12 = £144). Alternatively, use a flat fee per article with the word count noted in the description.
Can I add usage rights as a line item?
Yes. Add a line item such as "Commercial usage licence — 12 months" with your licence fee as the price. This makes it clear that the creation fee and usage rights are separate charges.
Should I include VAT on my copywriting invoices?
Only if you are VAT-registered. In the UK, the mandatory registration threshold is £90,000 turnover. Below that, VAT is optional (but you can register voluntarily). If registered, add your VAT number and rate in PennaPay's profile settings — it will appear on every invoice automatically.
What payment methods should I offer clients?
BACS/bank transfer is the standard for UK freelance copywriters — include your sort code and account number in the payment terms. For international clients, Wise or IBAN transfer avoids unnecessary conversion fees. Note your preferred method clearly on the invoice.
